What do Shanghai rental payment terms mean?
A one-year lease is a common starting point, but duration, renewal and payment arrangements vary. There is no single payment package to assume for every apartment. SmartShanghai’s rental guide describes local practices; the terms offered for your apartment still need checking.
These examples explain the shorthand you may encounter. They are comparisons, not a claim about which arrangement is most common. All figures assume rent of RMB 10,000 a month and exclude other costs.

The deposit is money held as security. Prepaid rent pays for your first rental period; it is not an additional fee. A lower initial payment does not necessarily mean cheaper rent over the year. A smaller deposit and less prepaid rent also have different implications for cash held by the landlord.
A realistic move-in calculation
Suppose your quote is RMB 12,000 a month, two months’ deposit, monthly rent payments and an agency fee of 50% of one month’s rent. Add RMB 3,500 for temporary accommodation, RMB 1,500 for moving and setup, and RMB 800 for the first month of extra bills. You would need RMB 47,800 ready, with an ongoing monthly housing budget of RMB 12,800. These are illustrative inputs, not typical Shanghai fees.
Confirm the agency’s exact fee in writing before committing. The calculator’s zero starting fee is not a promise of a commission-free rental. If utilities or management fees are already included in rent, do not add them again.
Need a rental fapiao for your employer?
A rental fapiao (发票) is an official tax invoice. Your employer may require it to reimburse rent or process a housing allowance; a payment screenshot or ordinary receipt may not satisfy its requirements. Ask HR or payroll what documents they need before you commit to an apartment.
Some landlords quote rent without a fapiao and ask for an extra payment if you need one, often describing the addition as a tax charge. Raise this during the initial price discussion, not after signing. Ask for the total payable with the required rental fapiao, and negotiate whether any additional amount is included in the agreed rent. This is a reported rental practice, not a universal fee schedule.
Have HR confirm the invoice title, any required taxpayer identification number, the rental period and amount it must cover, and the submission deadline. Agree in writing who arranges the invoice, when it will be delivered, and any separately quoted charge, including its amount or calculation basis and payment timing. A promise to provide an invoice later is not enough to plan reimbursement.
What is worth negotiating?
These are requests worth discussing, not guaranteed concessions. Negotiate the complete package before signing and record any agreement in the lease or a signed attachment.

Cleaning, furniture changes and repairs are concrete things to raise before signing. Have agreed work recorded and completed by handover. We also recommend putting promised changes in writing and inspecting them before move-in.
What should not be treated as a bargaining chip?
Legal rental authority and required safety standards are not optional extras. The national Housing Rental Regulation requires landlords to show identity and ownership or other evidence of their right to rent the property. It also requires the deposit amount, return timing and deduction circumstances to be agreed in the lease. Brokerage agencies must disclose charges and may not collect or forward rent and deposits. Distinguish a broker from a rental company that is itself the contracting landlord.
For non-hotel stays, foreign residents or their hosts must complete accommodation registration within 24 hours of arrival. Confirm the practical arrangements before moving in; a landlord’s informal promise does not remove the requirement.
Some other costs are outside the landlord’s direct control. Ask for the utility billing basis and building rules. You can discuss who pays a bill without assuming the landlord can change a supplier’s tariff or override the building’s rules.
Before you sign or pay
Check the exact apartment address, contracting parties, rental authority, payment recipient and dates. Read the complete contract, including attachments; arrange a reliable translation when necessary and check any clause about which language prevails. Do not rely on a generic claim that one language always wins.
Agree repair responsibilities, an inventory and a signed handover record with photos, meter readings and existing damage. Keep receipts for rent, deposits and fees. Treat a booking payment separately: establish what it reserves, whether it is credited toward rent or deposit, and the conditions for a refund before paying.
Discuss early termination explicitly. Do not assume that giving notice, finding a replacement tenant or losing your job automatically releases you from the lease. Record the agreed route out and how outstanding payments are handled. The 2025 official model residential lease is a useful Chinese-language reference for contract structure, cost allocation, handover and termination provisions; your completed agreement still needs review.

Is three months’ rent in advance mandatory?
Do not assume it is. Confirm the payment schedule for the particular rental and ask about alternatives.
Can I use the deposit as my last month’s rent?
Do not assume you can offset it. Obtain written agreement before changing a scheduled rent payment.
Does the calculator include all living costs?
No. It covers the entered housing costs, not food, commuting, insurance, schooling or a general emergency fund.
Does an early move-out mean I only lose the deposit?
Do not assume the deposit caps your exposure. Check termination, unpaid rent and other agreed charges.
